Adding the app, using it, and removing it again. For Zenchronity Calendar, the appointment scheduling app at calendar.zenchronity.com.

What this app does

Zenchronity Calendar is appointment scheduling. You publish a booking link with your hours, someone picks a free time and confirms it by email, and the appointment lands in your calendar.

The Zoom integration is one option on that link. When a booking link has its location set to Zoom, every confirmed appointment on it gets a scheduled Zoom meeting created on your own Zoom account, under your own licence, settings and recording rules. We never host the call. The join link is emailed to the invitee with their confirmation and goes into the calendar invitation attached to it.

If the appointment moves, the same meeting is moved with it. If it is cancelled, the meeting is deleted. Nothing else in your Zoom account is read or touched.

Before you start

  • A Zenchronity Calendar account. Sign in or sign up at calendar.zenchronity.com.
  • A Zoom account, Basic or licensed. Meetings are created on it and inherit its limits, so a Basic account still ends group calls at 40 minutes.
  • Permission to add Marketplace apps to that Zoom account. If your Zoom administrator has restricted app installs, ask them to pre-approve Zenchronity Calendar first.

What the app asks for, and why

Zoom shows you this list when you approve the connection. Each permission is used for one thing only.

Create a meeting

An appointment being confirmed

Makes the scheduled meeting for that appointment, at that time, named after the booking link, with the waiting room on so nobody walks into the previous conversation.

Update a meeting

Requires

An appointment being rescheduled

Moves the meeting that already exists to the new time. The meeting ID and the join link stay the same, so the link already sitting in the invitee's calendar keeps working.

Delete a meeting

Requires

An appointment being cancelled

Removes the meeting this app created for that appointment, so a cancelled hour does not stay on your Zoom account.

Connecting the account

Your Zoom user ID, account ID and email address. The email is what Settings shows you so you can tell which Zoom account is connected, and the user ID is how we recognise your connection when Zoom tells us you have removed the app.

The app only ever touches meetings it created itself. It does not list, read, join, start or record your other meetings, and it does not change any account settings.

Adding the app

Connect your Zoom account

    Open Settings from the sidebar.

    Find the Meetings section and press Connect on the Zoom card.

    Zoom asks you to sign in if you are not already, then shows what the app may do. Press Allow.

    You land back in Settings. The Zoom card now says Connected and shows the email address of the Zoom account it is connected to.

Turn it on for a booking link

Connecting Zoom changes nothing on its own. A link starts creating meetings once its location says so.

    Go to Links and open the link you want to meet on, or create one.

    In Details, set Location to Zoom.

    Press Save. Every appointment booked on that link from now on gets its own Zoom meeting.

If you started from the Zoom App Marketplace listing instead, the Add button brings you to Zenchronity Calendar. Sign in, then follow the five steps above from Settings.

Using it

A new appointment gets a Zoom meeting

Requires

Zoom connected, and a booking link whose location is Zoom

An invitee picks a time on your public link, enters their details and confirms with the code emailed to them. At that moment the app creates the scheduled meeting on your Zoom account for exactly that time and length.

The invitee's confirmation email carries the join link and a calendar attachment containing it. In your own calendar, opening the appointment gives you Start the Zoom meeting, which opens it as the host. The host start link is never shown to invitees.

A rescheduled appointment moves its meeting

An appointment that already has a Zoom meeting

Either side can move it: you, from the appointment in your calendar, or the invitee, from the manage link in their confirmation email, if the link allows rescheduling.

The app updates the existing Zoom meeting to the new time rather than making a second one. The meeting ID, the join link and the passcode do not change, and both of you are emailed the new time.

A cancelled appointment releases its meeting

An appointment that already has a Zoom meeting

Cancelled by you or by the invitee, the app deletes that meeting from your Zoom account and the join link stops working. Nothing else on the account is affected.

Group sessions share one meeting

Requires

A booking link with a capacity above one

A class or a workshop is one session with several seats, so it is one Zoom meeting. Everyone who books that session is emailed the same join link, and the meeting is only deleted once the last seat is cancelled.

Seeing what is connected

Settings shows the connected Zoom account and when it was connected. If Zoom ever refuses the stored credentials, the card asks you to reconnect instead of failing silently.

Troubleshooting

“That connection attempt expired” when you come back from Zoom

The connect link is single use and short lived. Go back to Settings and press Connect again, in the same browser you are signed in to Zenchronity Calendar with.

The Zoom card asks you to reconnect

The connection ended on Zoom's side: the app was removed from your Zoom account, an administrator revoked it, or the credentials expired. Press Connect and approve it again. Appointments already booked keep the meetings they have.

An appointment was confirmed with no join link

Check that the link's location is Zoom and that the Zoom card in Settings is connected. The appointment's own activity trail records when a meeting could not be created. The booking itself is never lost because of it: reconnect, then move the appointment to the same time to have the meeting created, or write to [email protected].

Your administrator has blocked app installs

Zoom refuses the approval step. Ask your Zoom administrator to pre-approve Zenchronity Calendar for your account, then connect again.

The call ends after 40 minutes

That is the Zoom Basic limit on the account the meeting was created on, not a setting in Zenchronity Calendar. A licensed Zoom account removes it.

Removing the app

Either route fully disconnects the integration. Use whichever you are already in.

From Zenchronity Calendar

    Sign in at calendar.zenchronity.com and open Settings.

    In Meetings, press Disconnect on the Zoom card and confirm.

From Zoom

    Sign in to marketplace.zoom.us and open Manage, then Added Apps.

    Find Zenchronity Calendar and press Remove.
  3. 3
    Zoom notifies us immediately and the stored connection is deleted on our side as part of handling that notice.

What removal means

  • Deleted from us, immediately: the Zoom access and refresh tokens, your Zoom user ID, your Zoom account ID and the Zoom account email address. They are removed from our database, not archived.
  • New appointments: links whose location is Zoom stop getting meetings. The bookings still go through, the invitee just receives no join link, so change those links to another location or reconnect Zoom.
  • Meetings already created: they stay in your Zoom account and their join links keep working, because without tokens the app can no longer reach them. Delete the ones you do not want from your Zoom account.
  • Your appointments: they belong to your Zenchronity Calendar account rather than to Zoom and are not deleted. Past appointments keep the join link recorded against them in your own history.

To delete the Zenchronity Calendar account itself and everything in it, write to [email protected] from the address you signed up with.
